Our procurement process

Our procurement process aims to help us:

  • achieve the best value for money in all expenditure
  • reduce our risk
  • conduct procurement in a fair, open and transparent way.

We want to work with suppliers who are:

  • commercially viable
  • ethically sound
  • knowledgeable and experienced in their area of work.

Competition process

Our commercial assessment of you will depend on the type of goods or services that you’re supplying, but we have some standard things that we look for (see Information for new suppliers).

In addition to the commercial assessment we nearly always need to get more than one quotation for goods or services to ensure that process is competitive. The table below shows the process we apply depending on the anticipated cost of the goods or services.

Up to £5,000 1 quotation
Up to £25,000 2 quotations
Up to £50,000 3 quotations
Above £50,000 Tender process

Although the competition requirement is determined primarily by spend, we do consider factors other than cost when we award contracts.

All spend must be approved in line with our schedule of authority.

All spend and contractual commitments we make are authorised by our trustees. The trustees delegate this authority for normal expenditure in line with our schedule of authority.
